# Webdimonia agency toolkit

Practical worksheets for planning an insurance agency website, reviewing marketing and checking inquiry handling.

[Download the formatted Excel workbook](https://webdimonia.com/downloads/webdimonia-agency-toolkit.xlsx). Use **Start here** to open a worksheet, its CSV or its supporting article.

## Working with the files

The 19 CSVs each contain one header row and a consistent table. They use UTF-8 text and standard comma-separated fields. Keep identifiers and source URLs when sorting or sharing extracts. CSV files do not retain colors, fonts, column widths, filters or dropdown controls; those features are in the Excel workbook.

In the workbook, amber cells are for your answers. The supplied examples are fictional. Replace them with your agency's verified facts. The research sheets contain source records rather than editable checklists.

For checklist statuses:

- **Not checked:** the check has not been performed.
- **Needs work:** a specific gap has been verified. Record the finding, next action and responsible person.
- **Verified:** the required evidence is recorded and the check is complete.
- **Not applicable:** record why the check does not apply.

Use YYYY-MM-DD for dates. Store only evidence references and operational notes here. Keep customer records, passwords, recovery codes and account secrets in their proper systems.

## First-year budget

Use written quoted amounts in US dollars. Choose a treatment for every cost: **Include**, **Included elsewhere** or **Not needed**. Leave **Review** until you have decided. Count a website deposit and balance once as parts of the same build price.

For included costs, enter the one-time amount, monthly amount, number of active months and annual renewal amount. Enter **0** for an amount that is confirmed to be zero; an empty cell means it is still unknown. Count renewals only if they fall within the first year you are budgeting.

**First-year cost = one-time amount + monthly amount × active months + annual renewal amount.**

The workbook calculates the line costs and shows a complete total only when every cost has a treatment and every included line has the required inputs. In the CSV, calculate and record the line totals yourself, or open the Excel companion. The CSV intentionally contains no executable formulas.

Avoid counting included hosting, maintenance, forms or content twice. Check the actual agreement before adding a separate charge. Advertising spend and advertising management are separate costs. Blank amounts are not a quote from Webdimonia.

## Provider comparison, briefs and handoff

Ask providers the same questions and request written evidence. Record differences, unresolved questions and your decision; there is no artificial vendor score. The website and content briefs show what a useful answer looks like while leaving your agency's answers blank. The handoff worksheet specifies the access and evidence to verify for each asset.

## Research tables

The website study preserves all **200 observations**, **431 candidate attempts** and **50 state allocations** collected September 23, 2026. There are four observations per state. This is a sample of accessible websites linked from the Travelers directory, not a population-weighted survey or a ranking of states or agencies.

A `True` flag means a feature was detected in the captured page source. A `False` flag means it was not detected there. Neither establishes whether a visitor can complete a task. Forms may be search or newsletter forms; parseable JSON does not establish correct business schema. Collection failures in the selection log do not establish that a website fails for ordinary visitors. Blank URLs mean no URL was recorded for that candidate.

Collection timestamps retain their recorded timezone and full precision. The workbook labels these values with `ISO:`; the CSV contains the original unprefixed timestamps for analysis.

[Read the field definitions and methodology](https://webdimonia.com/downloads/insurance-agency-website-study-2026-methodology.md). The `prepared_by` and methodology/guide columns identify Webdimonia and the context of the export; they are not observations about the sampled agency.

The benchmark evidence sheet credits each original publisher and retains the population, sample, period and limitation for every figure. Percent values are expressed on a 0–100 scale, so `9.83` means 9.83%. Figures from different populations or outcome definitions should not be combined into one average. Missing source information is stated in the record rather than treated as zero.
